Signature Ace Inc., Signature Ace Inc. com (the “Website”) and any applications available for use on any mobile devices or available for download or purchase at the App Store or otherwise, is a website and application (“App”) owned and operated by Signature Ace Inc. (“Signature Ace”, also referred to as “we”, “us”, or “our”). The Website and App is intended for use with respect to Signature Ace’s collection of metrics for worksite health and safety, billing purposes, audit compliance, and other business purposes (the “Signature Ace Platform”).
We are committed to protecting the personal information given to us by users of the Signature Ace Platform. We manage your personal information in accordance with all applicable privacy laws.
If you do not want to follow the terms in this Privacy Policy, you may not use the Signature Ace Platform, the Website or App. We may change or update this Privacy Policy at any time, and those changes will be in effect as soon as they are posted on the Website or within the App. You are also agreeing to follow any changed or updated terms of the Privacy Policy when they are posted, so check this Privacy Policy often.
What personal information do we collect and why?
What is personal information: Personal information is information about an identifiable individual user of the Signature Ace Platform, the Website or the App.
We collect limited personal information in user profiles: If you choose to create a user profile on the Website or in the App, we collect the following personal information: a username (that you create), a password (that you create) and an email address. We also use your username, password, and email address to ensure the security of the Website and the App and to contact you if you forget your password or have trouble logging into your user account. When you use the Signature Ace App, we might collect information about your GPS location data and your mobile device, including a unique identifier for your device. For the avoidance of doubt, location data is only collected when the Signature Ace App is on and is in use. You will be asked for permission to access location each time you log into the Signature Ace App. In addition, by using the Signature Ace Application you may be asked for permission to access data on your mobile device, such as photos or other information. We w will only access this data with your consent. Please note that some functions of the Signature Ace Application are only available if you allow access to requested content and GPS location information.
In addition, we also collect personal information about:
- your employment,
- your attendance at safety meetings;
- your completion of any health and/ or safety screening checks (including without limitation taking a temperature reading at various times that you access or attend upon the worksite(s));
- your completion of employer or contractor related screening checks required prior to accessing the worksite or meeting at the worksite required for business, employment or regulatory requirements;
- your completion of workplace or specific job-site hazards identification questionnaires or materials;
- the assignment of any customer assets, equipment or materials of any kind or nature to you as an employee or independent contractor of the customer at the worksite(s) for responsibility and handling pursuant to your employment or contractual arrangements;
- the timing and attendance of your entrance and exit from the worksite(s);
- number of times you visit the worksite(s);
- the timing of check-in times;
- your signature; and
- your location while the above information is collected..
This aforementioned information is shared with your employer and contracting entity (if you are an independent contractor) so as to facilitate the use of the Platform including without limitation for those purposes listed above, which are collected, used and disclosed to your employer or contracting entity for purposes of onsite/offsite head counts, your attendance for invoicing verification purposes, attendance for safety and other meeting purposes, health and safety, regulatory or other workplace screening related matters, muster attendance, and confirmation of assignment to employees or independent contractors for responsibility for customer equipment assigned at the worksite.
We limit use of email addresses: Unless authorized or required by law, we will only use your email address to contact you to confirm your password or to help you to log onto the Website or the App, to notify you of any incidents involving apparently improper use of your email address or user profile, to share with you information regarding products and services offered by us, to deliver reports you have requested from Signature Ace or if you have contacted us to ask for additional information. You may opt-out or limit email communications at any time by changing your preferences on the site, your mobile device or our mobile application (specifically which reports and communication’s you wish to receive) or by contacting us using the information below. We may also use your email address as your log-in name and as a unique identifier for your account to differentiate you from our other users. Some of the features and functions of the Signature Ace website and applications are not available to you if you opt-out of email communications.
Push Notifications: We may send you push notifications regarding your account or the Application. If you wish to opt-out from receiving these types of communications, you may turn them off in your device’s settings. Some of the features and functions of the Signature Ace applications are not available to you or will not operate as intended if you opt-out of Push Notifications.
We do not link other information to user profiles: We use technical means to collect statistical information about the use of the Website or the App which is not related to individual users or user profiles except as listed in this policy.
You can choose the “remember me” function: The Website uses technology to let you save your user profile to a computer using a “remember me” checkbox. When you log on to your user profile, the Website gives you the choice whether to save your username and password to the computer you are using so that this information is available the next time you log in to the Website on the same computer. You should never use this feature if you are using a public computer. The Website’s use of cookies is limited to a login session key and we do not
Is personal information shared with anyone?
We only use personal information for the purposes of use of the Signature Ace Platform on the Website or through the App:: It is primarily representatives employees or contractors of corporations, or such corporation’s representatives or agents, which we have contracted with pursuant to our license of the Signature Ace Platform to who we will share the personal information about users. If we share statistical information about users of the Website with regulators or other outsiders, we will first make sure that individual users are not identifiable.
We use external service providers including Service Providers in the USA: Consultants or contractors may have limited access to personal information, if access is necessary for the performance of their duties. For example, our Website or computer consultants may have access to personal information from time to time to ensure performance and functioning of the Website. Also, our computer consultants will assist with the storage of personal information. We use service providers in the USA and use hosting service providers and servers located in the United States of America for the operation of the Platform and services, including for data processing and data storage. As a result, personal information may be accessible to law enforcement, national security services or regulatory authorities in accordance with the laws of that jurisdiction.
We will disclose personal information to your employer or contracting entity. There will be no confidentiality between personal information provided by you as user and your contracting corporation or employer. Whether you provide us with your personal information, or it is provided by a representative or agent of your employer or entity with which you contract as an independent contractor pursuant to a license agreement we have entered into with such employer or entity with respecting the use of the Signature Ace Platform, you acknowledge and agree that for the purposes of the Signature Ace Platform the content that is uploaded on the Signature Ace Platform will not be confidential vis-à-vis yourself and such entities.
Other than set forth above, for anything else we disclose personal information only with consent or where permitted by law: We will not sell your personal information, or make it available to advertisers. We will only disclose personal information with consent or where this is permitted by law, including in response to a court order, or pursuant to a lawful request by a government agency.
How do we protect your privacy?
Our staff and volunteers are trained to appreciate the importance of privacy and the confidentiality of personal information.
Also, we take every reasonable effort to ensure the security of the personal information in our possession, including by taking the following measures:
- We ensure that physical and technical safeguards are in place to secure personal information.
- We implement administrative safeguards to restrict access to personal information to those with a need to access the information.
- We only maintain personal information for as long as we require it in accordance with our retention policy. Personal information that is no longer required will be rendered non-identifying or securely destroyed.
- Individual users may request that we delete their user profile and we will use our best efforts to ensure that the user profile information is destroyed or rendered non-identifying within a reasonable period of time.
Accessing and correcting personal information
You have a right to access records containing your personal information, subject to certain lawful restrictions. We may charge a reasonable fee for such requests.
We rely on users to make changes to the personal information in their user profile. You may also request correction of your personal information. If you request a correction of your personal information, we will correct the information as soon as is reasonably possible, subject to legal limitations.
Requests for access or correction of personal information should be made in writing to our Privacy Officer, who will make every reasonable effort to assist you.
